For each active document, identify what you need to do: confirm, pay, scan, sign, or ask a question. Put a reminder in a calendar or task list if a deadline matters. The tray itself cannot remind you at the right time, especially when several papers are stacked together.

Review on a predictable day

Choose a short weekly review and add urgent items sooner when necessary. During the review, complete quick actions and schedule longer ones. Return only documents with a clear remaining action to the tray. This creates a reliable rhythm without demanding that every envelope be handled immediately.

File in a system you can retrieve

Use categories that make sense to you, such as home, work, and warranties. For digital copies, choose clear filenames and a secure storage location. Consider what originals you need to keep; requirements differ by document and circumstances. Do not assume a scan automatically replaces every original.

Limit incoming duplication

Where suitable, choose one preferred delivery method for routine statements and notifications. Check account settings directly with the provider. Avoid keeping duplicate copies just because they arrived in different formats. The goal is fewer decisions and a more dependable record.

Notice when the tray stops working

If the pile keeps growing, look for the reason. Perhaps the review is too infrequent, the filing location is inconvenient, or one difficult task is blocking the rest. Deal with that bottleneck rather than buying a deeper tray. A useful system makes the next action visible and lets completed paper leave.
